
Not everything needs a human touch — but some things really do. Here’s how to tell the difference.

- What’s consistently falling behind or getting skipped?
- What tasks sit outside your zone of expertise?
- What could someone else do just as well — or better — with the right guidance?
- What are you willing to actually let go of?
That last one matters. Delegation only works if you’re genuinely ready to hand something off. If you’re going to second-guess every email someone else sends, it might not be ready to outsource yet.
What to outsource to a human
Some tasks require judgment, relationship, and context — things that automation can’t replicate. These are best handled by a person:

Automation is best for repetitive, rule-based tasks that don’t require a human decision each time. Good candidates:

- Appointment scheduling — Calendly removes the back-and-forth entirely. Let clients book directly into your calendar.

- Review requests — set up an automated email sequence post-wedding so follow-ups go out consistently without you remembering to send them.
- Workflow triggers — automate the predictable steps (invoice sent, contract signed, questionnaire delivered) so nothing falls through the cracks.
The goal isn’t to automate everything — it’s to automate what’s predictable so you and your support team can focus on what actually requires a human.
